The purpose of this role is to work directly with the CEO to manage schedules, communications, and tasks in a way that alleviates pressure and minimizes overwhelm. This role will coordinate and organize appointments, meetings, travel, and all day-to-day administrative tasks to ensure every aspect of the CEO’s professional and personal commitments are seamless. A key component of this role is anticipating needs and proactively solving challenges before they escalate, allowing the CEO to focus on high-level strategic priorities.

What You Will Be Doing:

  • Complex calendar management: Meticulously manage the CEO’s schedule, ensuring meetings and tasks are organized with sufficient buffer times between appointments to avoid overload. Identify and prioritize essential meetings while deferring or delegating non-critical items.
  • Understand key priorities: Be familiar with the CEO’s long-term and short-term goals and structure daily tasks and schedules to align with those priorities.
  • Gatekeeper role: Filter and prioritize requests for the CEO’s time, ensuring only the most critical and high-impact meetings and communications reach their desk.
  • Event and content coordination: Organize and select the most impactful events, photo shoots, and content creation opportunities to maximize exposure and minimize unnecessary engagements.
  • Proactive planning: Take initiative in planning CEO travel, ensuring itineraries are efficient, downtime is accounted for, and last-minute changes are managed smoothly.
  • Social Media Management: Manage the CEO’s social media presence, including scheduling posts, monitoring engagement, and crafting responses to inquiries. Coordinate with external teams if needed to ensure consistency.
  • Catering and logistics: Ensure catering and logistics for both professional and personal events are organized in advance, so no detail is overlooked.
  • Meeting follow-ups and summaries: Ensure all meeting outcomes are tracked, and necessary follow-ups are scheduled and completed.
  • Email management: Ensure all email inquiries are categorized by importance, delegating responses when appropriate, and ensure the CEO is informed of only the most urgent matters. All email inquiries must be responded to by the end of the day.
  • Systems management: Leverage technology tools (Google Calendar, project management tools, etc.) to create seamless communication flows and task delegation for both the CEO and leadership team.
  • Automate where possible: Streamline routine tasks, such as scheduling and responding to common inquiries, using automation tools to minimize repetitive work.
  • Manage personal tasks: Assist with any personal or household-related logistics, such as coordinating with vendors or managing family schedules as needed, to further ease the CEO’s workload.

Skills and Qualifications

  • High school diploma or equivalency.
  • Highly organized and adept at multitasking with minimal supervision.
  • Self-driven and proactive nature, with the ability to anticipate needs and resolve problems before they arise.
  • Familiarity with email, internet, Apple OS, Google Apps, and various scheduling tools.
  • Excellent written and oral communication skills required.
  • A passion for delivering exceptional customer service and maintaining professional relationships.
  • Minimum of 2 years of Customer Service experience, ideally with exposure to executive leadership support.
  • Ability to remain calm under pressure and prioritize tasks in a fast-moving environment.
  • Strong attention to detail, with the ability to maintain confidentiality at all times.
  • Experience in social media management is a plus.
  • Experience with automated tools and project management systems is highly desirable.
